Installation & Setup

Install the Pipelook App to your Pipedrive account

The app can be installed from the official Pipedrive marketplace.

Installing it is done in a few clicks. You just need to grant us the necessary permissions so we can operate (read and write access to your contacts, deals, and activities). Don't worry, we only use these permissions on your request, when you use the Outlook add-in, and nothing more.

It should look something like this:

Install the Outlook add-in

If you have already worked with Outlook add-ins, this is no different.

  1. Access the Add-ins dialog in Outlook 🧩

    In the Home tab of the Outlook ribbon, locate and click the Get add-ins button. This will open the add-ins dialog.

    You can also browse to the AppSource marketplace listing for Pipelook and install it from here.

  2. Install the Pipelook add-in ⚙️

    Search for Pipelook and hit "install"!

  3. Enjoy Pipedrive in Outlook 🎉 🥳

    You should now see Pipelook in the Custom add-ins section. Close the add-ins dialog. When reading an email, click the Pipelook button to open the side panel and connect your mailbox with Pipedrive.

Using the add-in

Open the Pipelook sidepanel

Once you've successfully installed the add-in, you need to open the Pipelook add-in.

First, be sure to be reading an email. If no email is selected, you won't be able to open the sidepanel.

With the Mac or Windows versions of Outlook, once the add-in has been installed, a new Pipelook button is made available in the Home ribbon (simply the main toolbar on macOS versions). Whenever you're reading an email, clicking it will open the Pipelook add-in. If the ribbon is already full, the button may be added in the additionnal tools submenu, available via the "three dots" button. Outlook lets you customize the toolbars so you can put the button where it's convenient for you. Right-click the ribbon and then click Customize the ribbon to do so. With Outlook On The Web (also known as "Outlook Web Access"), when viewing an email, there should be a button next to the "Reply" and "Forward" buttons, with an icon featuring a minimalist version of an appstore. Click it and then the Pipelook add-in should be available.

If you still can't see the button, consider customizing the visible buttons: open the actions menu, next to the "Reply" and "Forward" buttons, and select "customise actions". From there, you should be able to make the add-in visible.

If you still can't find how to open the add-in, you should refer to the official Outlook documentation for the version you're using. Nah, just kidding. Send us a mail at support@pipelook.app and we'll do our best to give you a hand.

Connect your Pipedrive account to the Outlook add-in

The first time you launch the add-in, you shoud encounter this screen when the sidepanel opens:

Click the "Login with Pipedrive" button, it will open a new window (depending on the version of Outlook, you may need to authorize the opening of a new window). You will get to the Pipelook app where you will be prompted to connect with your Pipedrive account (again!). You will be redirected to Pipedrive to authorize the application.

Once this is done, the opened window should close itself after a few seconds. The Outlook add-in is now successfully connected to your Pipedrive account!

Create contact

Create a Pipedrive person from the sidepanel

When reading an email, if you open the Pipelook sidepanel, we lookup your Pipedrive account to find persons with a matching e-mail address. When there isn't any, you will be offered to create a new contact. Click the Add new person button to do so.

View contact information

If a matching person is found, the associated information will be shown. In case more than one Pipedrive contact match, you will be prompted to choose the one that works for you.

View and create deals

No deals for now

When there are no deals associated with the person in your Pipedrive account, the only thing you can do is add a new deal. This can be done by clicking the Add deal button.

Adding a new deal

To create a new deal, you need to input the necessary information; at the very least the name of the deal. You can also input the deal value and select the sales pipeline stage the deal's currently at.

When you're done, hit the Add button. The deal is immediately being sent to your Pipedrive account!

View with deal

After a deal has been added, the view will update accordingly. Each section of the sidepanel can be expanded or collapsed.

View and schedule activities

No activities for now

When there are no activities associated with the person in your Pipedrive account, the only thing you can do is add a new activity. This can be done by clicking the Add activity button.

Scheduling a new activity

To create an activity, you will need to provide the needed information by filling the form.

If you want, you can set an activity type (eg. Call, Meeting, Lunch, etc.), link the activity with an existing deal or add a note.

View with activity

Once you scheduled an activity, the view will update accordingly. Each section of the sidepanel can be expanded or collapsed.

View and take notes

No notes for now

When there are no notes associated with the person in your Pipedrive account, the only thing you can do is add a new note. This can be done by clicking the Add note button.

Creating a note

Creating a note is quite straightforward. Just type your note into the textarea, and click the Add button. That's it!

View with note

If you have already taken notes about this contact, you will see them listed in the notes section. Collapse or expand the section according to your need.
